Management Assistant

Reporting to the Group Head of HR, the role holder will be responsible for the provision of efficient and responsive administrative and organisational support to the Managing Director, Business Unit Head and Function Unit Heads.
Key Responsbilities
- Provision of responsive administrative and clerical support to the Managing Director, Business Unit Heads and Function Unit Heads with high-level administrative tasks
- Effective and efficient diary management and co-ordination
- Organisation and co-ordination of meetings including preparation, co-ordination and circulation of Agenda and Papers.
- Draft letters, correspondence and Company documents on behalf of the Managing Director and Business/Function Unit Heads as required
- Act as a liaison and provide secretarial support to the Board of Directors as required
- Organisation and co-ordination of business travel and associated visas.
- Organisation and co-ordination of events including conferences, seminars etc
- Key liaison with Stena Group management
- Minute taking
Any other specific an/or related tasks and administrative duties as required.
Candidate Requirements
Essential
- National 5 or equivalent in English and Administration/Or significant experience
- Previous experience working within a similar role within a commercial setting
- Self-motivated with the ability to work as part of a team as well as work on own initiative
- Ability to demonstrate a flexible and responsive approach
- Good time management and organisational skills with the ability to effectively prioritise work and deadlines
- Ability to exercise discretion when working with sensitive information
- Proficient in the use of MS Office packages
