Medical Administrator

Providing administrative support for clinical services to the Company including those related to seafarer health and fitness to work at sea/in Oil and Gas sector, including collating results from relevant specialised tests as part of statutory and client-specific medicals. Liaising with medical/administrative teams of existing Company clients.

Main Responsibilities

•       Booking and coordinating fitness for work/sickness absence medicals.

•       Department diary management.

•       Support clinical staff and liaise with booking team.

•       Filing/scanning and securely storing confidential clinical records.

•       Formatting/developing Medical Department documentation.

•       Collating results of medical tests/referrals/other documentation.

•       Maintain billing spreadsheets/invoicing/purchase orders.

•       Paperwork preparation for Occupational Health appointments.

•       Medical Director PA.

•       Meet and greet clients, arrange local transport as required. Handling caller enquiries.

•       Maintaining supplies/stock of department including clinical consumables.

•       Data collection/audit for internal use and external bodies.

•       Liaise with suppliers/visiting external healthcare providers.

•       Attend training as required to meet business needs/department requirements.

You may be asked from time to time be asked to undertake other tasks that are considered to be relevant to your position


  • Excellent communication skills.
  • Proficient in MS Office, especially databases and word processing.
  • Sound educational background including a good standard of numeracy and written English.
  • Knowledge and practical understanding of healthcare/patient confidentiality and handling of sensitive information.
  • Knowledge of dropbox
  • Encouraged to have AED/BLS training/can be provided.
  • Immunity to Hepatitis B confirmation certificate. Vaccinations can be provided.
